We partner with schools, districts, and after-school programs to provide a service or mix of services including on-site coaches, professional training for school staff who support recess, and consultative partnerships. Here's where you come in: In the role of Program Associate, you will assist with organizing and coordinating operations and procedures for effective program management, services delivery, office management and grant compliance. Your knowledge of local, state and federal government grant management and compliance, particularly AmeriCorps, will come in handy for the grant administration aspects of the role. Your attention to detail, customer service attitude and keen organization skills will be essential to us running our fast paced community-based organization. Responsibilities, including but not limited to: Office Management * General office management (answering phones, mail distribution, supplies inventory, office upkeep). * Support the regional operation, including the Executive Director, by assisting school and agency invoice distribution and collections. * Serve as the technology liaison between the local office and national team. * Reconcile receipts, regional petty cash accounts and prepare expense reports on behalf of the Executive Director and obtain approval and submit on a monthly basis. * Other duties to support fundraising and events as requested by Manager. HR Compliance * Facilitate the hiring process for all staff and members ensuring all necessary paperwork is completed; including the initiation of background checks for all new hires in accordance with state and federal regulations. * Maintain our employee database to ensure proper certifications and documentation for all regional staff and members are current and on file. * Assist with aspects of our recruiting process (posting open coach positions on various online/print sources, coordinate interviews, and manage recruiting database). AmeriCorps Compliance * Distribute, collect, and maintain personnel documentation to ensure AmeriCorps (AC) member eligibility * Support/facilitate AC events and trainings, including but not limited to preservice training, motivation workshops, AC graduation, AC work activities, and timesheet training. * Update personnel/program information on government databases including eGrants Data & Evaluation Compliance * Regional Lead for Data Collection including School Engagement Surveys, Step Back Tools, and Output Tools * Support all Junior Coach Data Collection Procedures including Enrollment, Assessments, and Training hours tracking throughout the year Volunteer Management * Regional liaison for volunteer processes including supporting staff and coaches with recruitment, management, resources and trainings for volunteers. * Responsible for managing volunteer onboarding (registration, background check and orientations) * Responsible for tracking volunteer reports and numbers as it pertains to AmeriCorps grant requirements If you're a good fit for this position, you already know most of what this job entails. Required Skills & Experience: * At least 1 year as a Playworks coach or other K-12 school site/classroom experience. * General administrative and office experience. * Excellent communication skills. * Advanced computer skills, especially MS Word and Excel with ability to learn new technology quickly. Knowledge of Salesforce is a plus. * Proven ability to problem solve, set priorities and juggle competing demands effectively with minimal supervision * Strong attention to detail with record of accuracy and thoroughness in work * Demonstrated ability to use discretion, professionalism and good judgment and maintain a high level of confidentiality and sensitivity * Ability to communicate/interact professionally and effectively with a broad and diverse range of individuals (includes executives, business leaders, coworkers, students and teachers, variety of cultures and backgrounds) * Comfort with a playfully professional workplace culture and flexibility to readily adapt to a changing environment. * Interest in and commitment to the tenets of AmeriCorps, volunteerism and national service programs. Experience working with an Americorps program a plus! * Passionate commitment to Playworks' mission and vision to improve outcomes for children and schools. * This position may require travel to various regional locations.
