The Role:Location: Newark, New Jersey Position Summary:The Deputy Director of Finance and Administration reports directly to the Director and CEO of the Museum and is a member of the Senior Leadership Team. This position manages the following institutional functions: Finance & Accounting, Information Technology, Facilities and Capital Projects. The Deputy Director of Finance and Administration works closely with committees of the Board of Trustees. Key Responsibilities: Financial ManagementThe Deputy Director of Finance and Administration, in cooperation with the Director and other Deputy Directors, will oversee and implement an annual budget preparation process. Plays an important strategic business planning role to help ensure the implementation of the Museum's Long Range Plan.Directly monitor financial performance against the budget and coordinate preparation of reports to the Director and appropriate Board committees, department heads and managers.Serves as the liaison with Treasurer and Trustee Investment, Finance, and Audit Committees.Takes responsibility for managing the operating budget and restricted funds disbursements.Monitors capital projects budgets and, with the assistance of the Operations Manager and other staff, construction progress of ongoing capital projects.Develops and maintains the Museum's relationship with the investment manager.Develops and maintains financial relationships with government funding agencies.Oversees other financial management responsibilities including accounts payable, accounts receivable, financial management of grants, payroll, employee benefit I programs, pension plan, purchasing, risk management and Union negotiations.Responsible for Accounting systems including fundraising and membership management systems and a collections management system.Supervises purchasing, installation and integration of all PC networks, desktop publishing and word processing systems. Information and Technology ManagementEnhances the utilization of all computer systems and applications for timely financial analysis and management feedback. The Person:The ideal candidate will have the following professional and personal skills, qualities and characteristics: The Deputy Director of Finance and Administration will have deep experience leading finance in a complex philanthropic environment. S/he has an understanding and sensitivity to challenges of fundraising and is a committed partner to the Senior Leadership and Development team.S/he will have the technical abilities and confidence to ensure that the Newark Museum's financial oversight is of the highest caliber. The Deputy Director of Finance and Administration will be a strategic finance leader with the tactical ability to "deep dive" into the details with strong quantitative and analytical skills. The Deputy Director of Finance and Administration will be able to transition seamlessly between the "big picture" and minutia. S/he will bring a high level of intellectual horsepower with a collaborative, creative, and service-oriented mindset. The Deputy Director of Finance and Administration must have proven experience in budgeting, strategic forecasting and planning, and in overseeing financial, accounting, compliance, and risk management of a complex organization. The Deputy Director of Finance and Administration will be skilled at presenting financial information in a clear, confident fashion to a range of constituents. Leading Through Influence and Relationship Building The Deputy Director of Finance and Administration will be skilled at building effective relationships at multiple levels across complex institutions. S/he will be a strong leader, communicator and collaborator and will have the ability to engage with the wide range of stakeholders including staff, donors, Trustees and other partners. S/he will be effective at communicating the Museum's direction and strategy internally and externally and will be able to put institutional priorities before personal ambitions. S/he is astute at how to best leverage the Board of Trustees and External partners. S/he will have the ability to develop a powerful sense of shared purpose in others and motivate them to engage the opportunities and challenges ahead, providing true leadership for this next chapter. A leader with a strong sense of confidence and a style that will resonate in the Newark community and beyond, the Deputy Director of Finance and Administration will have a high level of emotional intelligence and will develop productive and fulfilling relationships with key constituents. Management Acumen The Deputy Director of Finance and Administration is skilled at building and leading high-performing, diverse teams of the highest degree of professionalism and guiding team members' growth and development. S/he has the ability to set clear priorities, delegate and guide investment in people and systems. Working closely with the Director/CEO, s/he will serve as a bridge between the internal staff and external partners and will fully embody the values of the Newark Museum. Finally, the ideal candidate is an individual of integrity, ethics and values, who can be trusted without reservation Qualifications and Characteristics:MBA and/or CPA requiredMinimum of 10 years experience at the management level of a non-profit, including hiring, training and staff managementPossess strong financial management skills and experience, in addition to having strong interpersonal and communication skills.Be an articulate professional, with the ability to translate complex financial concepts to individuals at all levels and to oversee diverse financial activities.Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger and payroll.Sensitivity to creative personalities and the program of the institution is essential, as is the ability to operate with a team management format.
