Job Description:
Our direct client is seeking an Executive Assistant to the Chief
Inclusion & Diversity Officer. This is a 3- to 6-month
contract-to-hire opportunity in Newark, NJ. Job Description: The
company is seeking a skilled, high energy, and highly motivated
individual to provide executive support to the Chief Inclusion &
Diversity Officer of the company. We are looking for someone who
can look at things with a broad perspective and anticipate needs
before being asked. You should be comfortable working in a dynamic
environment, taking initiative, delivering quality work and being
accurate. You should possess excellent follow-up skills and be able
to interact with multiple constituencies including C-suite
executives, clients, outside organizations, and varied businesses.
You will need to work independently and exercise good judgment when
prioritizing across multiple tasks. You should have a professional
demeanor and stay calm when multi-tasking. Responsibilities
include: - Scheduling meetings and maintaining all elements of a
"24/7" calendar, including extensive scheduling of large and
complex meetings with high level executives, often in multiple time
zones, and handling all meeting logistics - Maintaining a regular
open line of communication (via email, text/SMS, telephone,
face-to-face conversations) with the executive to jointly manage
calendaring, meetings and all other priorities - Building a strong
network of relationships across the company - Gathering materials
for meetings, including the preparation of briefings and binders,
and proactively ensuring pre-reading material is reviewed in
advance of meetings - Overseeing the editing of documentation,
presentation decks and taking meeting minutes as required. -
Coordinating domestic and international travel arrangements and
prepare itineraries - Preparing timely and accurate general expense
and travel vouchers, reconciliation of credit card statements,
pre-checking team expense reports for accuracy, and entering
necessary information into compliance and other monitoring systems
- Leading and coordinating team functions and events. Job
Requirements: Qualifications: - - - - - - - - - -Bachelor's degree
- - - - - - - - - -At least 7 years of administrative experience at
the C-Suite level - - - - - - - - - -Technologically savvy -
familiar with digital apps and online resources - - - - - - - - -
-Highly organized and detail-oriented; excellent in capturing,
tracking and executing on multiple to-dos while remaining calm and
not getting distracted. Demonstrated ability to handle multiple
priorities simultaneously - - - - - - - - - -Exceptional attention
to detail; a mindset of nothing slipping through the cracks. Proven
track record of accuracy, attention to detail and follow-through -
- - - - - - - - -Excellent technology skills and proficiency in the
overall Microsoft Office Suite. Including Outlook, Excel, Work,
PowerPoint and Teams - - - - - - - - - -Pride in maintaining an
exemplary executive calendar and being able to think ahead and plan
the calendar a week, a month and even a year ahead of time. - - - -
