As an Administrative Assistant, you will partner with the company's principal financial advisor and other internal teams to ensure all administrative needs are met. You will need to be exceptionally flexible and have a demonstrated ability to solve a wide range of complex business challenges. The ideal candidate is relentless about making things better, and capable of juggling many projects and tasks at once. You're not afraid of small details or the mundane, but also excited to work on significant initiatives. You're able to work in an extremely fast paced, sometimes ambiguous, rapidly evolving environment and are able to communicate effectively and build strong relationships with the team. Put simply, this role is about ensuring everything runs smoothly, overseeing the integrity of our processes and information management tools, and making sure everyone is productive and happy. In this role, you will report to the company's Principal. The Administrative Assistant will have a tremendous breadth of responsibility and opportunity to make a significant impact on company operations and culture.Responsibilities:Office Management:Act as the primary resolution function for administrative needs raised by the Kilter Group team.Manage all day-to-day aspects of our office, from all administrative duties to building a great place to work.Tidy and organize all common areas such as but not limited to kitchen, conference rooms, team room, print station, and supply closets.Organize, track, and enable the fulfilment of all office materials and snacks.Manage inventory to ensure all supplies are in stock and within budget.Process incoming and outgoing mail.Plan local company meetings, events, and parties. ----Team Support:Upload paperwork and client records to internal portals.--Ensure the integrity of our CRM.Confirm client communications are tracked in our CRM.Oversee task tracking and completion on individual client records, utilizing our CRM.Partner internally with Advisors and Client Service Executives to review the health and accuracy of our CRM.Take full responsibility for updating and maintaining our company resource page.Assist with various forms and applications relating to strategies implemented for individual clients.Participate in and transcribe company meetings (onsite or via phone), following up with a post-meeting summary each time and ensuring all outstanding tasks are completed.Ensure preparedness for staff meetings, syncing with the team in advance.Assist with on/off boarding of Kilter Group employees.Manage the e-mail of the company's Principal, ensuring nothing falls through the cracks and that everything that can be delegated is completed.--Ensure on time completion in a fast-paced, deadline-driven environment.--Maintain accuracy and confidentiality in all areas of the role.Requirements:Minimum 2-5 years experience in office administration, preferably with a financial services company or law firm. Exposure to sensitive information requires adherence to confidentiality and compliance standards at all times. Tact, diplomacy, and sound judgment must be exercised in interactions with the team and with clients. Must be able to take direction from other team members while also being able to independently prioritize in order to fulfill various expectations. Must have the aptitude and eagerness to learn and continually develop.Obsession with organization, follow through, and attention to detail.Strong computer proficiency, including Google Apps, Microsoft Office and modern web apps.Exceptional written and verbal communication skills, including strong proofreading ability.--Ability to take direction and prioritize accordingly.--Ability to communicate an expectation to others and follow up through to completion.--Ease in working with diverse personalities.Prior experience in independently prioritizing while maintaining a sense of urgency.Takes action and stays on track with minimal direction and using sound judgement.Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.Passionate about creating a great office culture.Location:This role will be based out of our New York City headquarters, conveniently located in the financial district. The nature of the role requires an everyday presence in the office.Full / Part-time: Full time
