Job Description:
Position: Specialist, Service Delivery AmericasPurpose:
- Ensure handling of HR operational activities for the Americas
including US payroll, benefits administration and vendor
management
- Serve as an escalation point for employee questions and dealing
with issues relating to company policies, Payroll, benefits,
verification of employment or any other related inquires through
AskHR
- Work closely with GPS (Global People Services) ensuring
delivery of payroll and benefits processes, review and update of
process documentation, monitor flow of employee benefits data
between systems (ADP and PeopleSoft Human Resource (HR)
database)
- Monitor the processes to ensure accuracy and sustainable
consistency and error free process
- Ensure confidentiality of the data dealt with and have
appropriate procedures in place for transmit of payroll data to
protect the data
- Coordinate monthly HR production call with Latin America
Brazil, Colombia and Argentina
- Manage projects and tasks as neededResponsibilities:
- Oversee and validate the US payroll process and serve as a
back-up for LATAM payroll governance.
- Review Overtime submission for accuracy and obtain line manager
confirmation on claims in excess of threshold. Responsible for line
managers' training for over-time, prepare dashboard monthly.
- Assist with performance of CST's for SD activities including
payroll and benefits.
- Responsible for preparation and maintenance of monthly
dashboard for LATAM payroll
- Review semi-monthly funding for payroll and benefits and ensure
completion of funding and posting of journal entries.
- Manage end to end EEO-1 reporting requirements including
generation and validation of required data for online submission of
filing.
- Review ADP payroll/benefits system access on monthly basis.
Confirm field level access is appropriate and within user level of
responsibilities.
- Provide support to the Head of Specialist Delivery- Americas in
relation to payroll and benefit processing for the US and
LATAM
- Maintain payroll and benefits articles within myHR
ServiceNow
- Support for internal and external audits as and when
required
- Serve as central point of contact for annual retirement plan
audits. Respond to auditor request for information. Coordinate with
extremal vendors and payroll team during audit process. Ensure for
plan financial statement for accuracy.
- Monthly reconciliation of retiree medical database &
self-funding benefit accounts
- Work with PRB, SD team and GPS finance team on creation of
benefits budgets and ongoing monitoring.
- Tax meeting
- Setting up system required deduction codes for benefits /
payroll. Co-ordinate with external vendors for new carrier
connection.
- Work with GPS finance team for Burden account
reconciliation
- Serve as a back-up for Maternity/Disability Leave Advisory
sessions -meet with employees to explain the Bank's policies, and
work with the Benefits/Payroll team / Vendors to ensure payroll
processes are accurately.
- Review and approve disability tracker and work with payroll
team for payroll process. Serve as a back-up to notify to employee
and line manager for the leave updates
- Tracking Specialist Delivery activities - following up with
Specialist Delivery team
- Invoice processing - scanning over to HR Fin Ops team &
tracking
- Assisting in employee education sessions on Specialist Delivery
products - scheduling rooms, assisting with material
- Maintain project trackers of activities
- Maintenance of employee handbooks and HR policy guides
- Scheduling meetings with vendors
- Monitoring central email in box and directing
correspondence/queries to relevant PRB team members
- Serve as a backup to conduct weekly new hire benefits
orientation and maintain presentation deck.
- Assist with maintenance and update I-9 files/reports Projects
to assist on:
- P-files projects
- Open Enrolment - coordination with vendors and internal GPS
teams on required changes and processesRegulatory & Business
