Job DescriptionJOB TITLE: Accounting Clerk IGOVERNMENT AGENCY: U.S. Department of Justice - Drug Enforcement AdministrationPOSITION INFORMATION: Full-Time/ Permanent PositionLOCATION: Newark, NJAVAILABILITY: DEA clearance can take 4-8+ weeks to process. Must complete prior to start of employment.SALARY: $19.16/hr + $4.23 per hour Health & Welfare used towards ITC's benefits plan. If not used towards benefits, H&W is deposited in a 401(k) account on the employees' behalf.***Important: Please read the job vacancy carefully before applying. Any key requirement(s) not met will automatically disqualify you as a candidate for this position***TASKS:

  • Utilize Financial Management System to:
    • Create/Process/Amend Forms to purchase supplies and equipment
    • Create/Process/Amend Purchase orders
    • Create and process invoices
    • Process claim forms for Reimbursements
    • Locate, correct invoice documents and payment forms and documents
    • Check for processed payments of invoices and reimbursements
    • Process Forms for travel registrations
    • Create and process Travel Request Authorization Forms
    • Create and process Fleet Payments
    • Create and process budget realignment of funds
    • Perform daily and weekly budget query checks
    • Create and complete shell fixed asset acquisition and transfer forms
    • Validate and monitor transactions on multiple accounts
    • Research discrepancies and make adjustments when needed
    • Obtain and evaluate quotes for purchases
    • Create Verification of Receipt and Acceptance forms for invoices
    • Complete forms for Purchase Card Verification of Receipt and Acceptance of products and services
    • Assist Purchase Cardholders in creating purchase orders
    • Monitor open commitments and invoices, open obligations, unreconciled purchase card charges in Reporting System
    • Utilize Information Management System for case management, create labels for forms, process case rush requests and no analysis requests
    • Maintain/File/sort forms
    • Archive case files to be sent to National Archives
    • Utilize travel system as a Field Administrator to assist chemists with travel vouchers
    • Review Pre-employment background waivers
    • Answering phonesREQUIRED:
      • MUST be a United States Citizen
      • MUST be able to obtain a U.S. Government Security Clearance (positive credit history, no criminal record, favorable employment history, no history of illicit drug use)
      • 1-3 years accounting experience OR Bachelors' Degree in Accounting or Finance
      • Familiarity with reviewing vendor invoices for payment of goods and/or services, ensuring requisite documentation is provided.
      • Familiarity with the obligation of funding for the payment of invoices.
      • Experience working with a financial management system in the payment of invoices.
      • Effective communicator, oral and written
      • Experience working under strict time constraints in a time sensitive environment
      • Experience with developing and managing budgets preferably in a government environment
      • Must be able to manage multiple priorities at any given time
      • Advanced working knowledge of Microsoft Suite, particularly Excel
      • Must be a fast learner with superb analytical skills and an eye for detail
      • Excellent interpersonal and customer service skills
      • Professional demeanor
      • Ability to work with minimal supervision
